Who we are
Charlottesville Swing Dance Society (CSDS) is a volunteer run, West Coast Swing dance club serving Charlottesville, Virginia and the surrounding area. Our website address is: https://cvilleswingdance.com.
What personal data we collect and why we collect it
Contact forms
CSDS account and membership information is collected using an WP eMember plugin on our website or via a paper form in person. The data we collect on these forms is only used by CSDS for membership related activities. Information collected includes name and email; birth month is optional. CSDS account and membership information is retained for as long as the person is a member or has a CSDS account.
We use Constant Contact to collect your name and email via electronic form submission for newsletter and news updates. This information is not provided to any third party vendors and is only used for CSDS communications. The information is kept indefinitely unless the user unsubscribes or requests to be removed from the contact list. When a user unsubscribes their information will be deleted during our quarterly maintenance time. If a user requests to have their information removed, their information will be deleted at the time the request is completed which could take up to 2 weeks. Cookies
A cookie is an element of data that a website can send to your browser, and which your browser may then store on your system. You can set your browser to notify you when you receive a cookie. Doing this will allow you to decide on a case-by-case basis whether or not to accept cookies. We use Google Analytics to collect information to monitor web traffic which uses cookies. Who we share your data with
We do not sell or distribute any of the information we collect. We use PayPal as our payment provider via a third-party plugin called WP eStore. We only collect and share the information needed to process payment. For more information see the WP eStore privacy policy and PayPal’s privacy policy.
How long we retain your data
CSDS account and membership information is retained for as long as the person is a member or has a CSDS account. Contact information for news and updates is retained until a user unsubscribes or requests to have their information removed. What rights you have over your data
You can request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

We do not sell or distribute your data to any 3rd party vendors except where needed to process payment information through PayPal.
Additional information
How we protect your data
We ensure that payment information is collected using a PCI compliant plugin and we use secure internet communications via https. We do not store any credit card information.
What data breach procedures we have in place
Membership data is managed by the Membership Coordinator using the WP eMember plugin and is not distributed. Contact information is managed by our Board of Directors and is not distributed. We only collect information needed for membership, news/newsletter contact, and payment processing and do not retain any credit card information.
